Process & Reporting

You should know what we’re doing before we do it.

Most agencies go quiet for ninety days and then send a PDF. Here is the whole shape of an engagement — what happens when, who you talk to, and exactly what is in the report.

The Short Version

A report you cannot check is a press release.

Every number below names the tool it came from and the account it was pulled from. You can open that account yourself and get the same figure. That is the whole standard.

How It Runs

Four phases, and you know where you are in all of them.

  1. Before you pay anything

    The proposal

You see the plan and the price before you commit to either.

We look at your site, your market and the three competitors actually beating you, then write up what we would do, in what order, and what it costs. If the honest answer is that search is not your problem right now, that is what the proposal says.

A written plan you keep, whether or not you hire us

  2. Days 1–30

    Audit & roadmap

A full teardown before we touch a thing.

Technical crawl and Core Web Vitals, a content and keyword gap against your top three competitors, and an AI visibility baseline across Overviews, ChatGPT and Gemini. That produces a prioritized twelve-month roadmap rather than a list of everything that could theoretically be improved.

A ranked roadmap, with the reasoning attached

  3. Months 1–3

    Fix, build, publish

Technical debt cleared, money pages rebuilt, authority work in motion.

Priority fixes ship and get verified. The pages that are meant to earn business get rebuilt around what people actually search. The content engine and citation work start. You get progress notes from your named strategist while this is happening, not silence until the first report.

First ranking movement, usually inside eight weeks

  4. Every month after

    Review and compound

The roadmap gets re-ranked by what the data says is working.

Each month we go through rankings, AI citations, traffic, leads and revenue with you. Work that is paying off gets more of the budget; work that is not gets cut rather than quietly continued. New opportunities are scoped and priced before we act on them, so nothing appears on an invoice you did not agree to.

Month-to-month — the results earn the renewal

The Monthly Report

Six numbers, and where each one comes from.

Anything we report, you can verify. If a metric cannot be traced back to an account you own or a login we give you, it does not go in.

Metric Pulled from Why it is in there
Keyword rankings SEOApp Our own tracker, so there is no per-keyword license quietly capping how much we watch. You get a login to the same data we see.
Organic traffic & landing pages Google Analytics Straight from your property. Not a screenshot, not a number retyped into a slide.
Impressions, clicks & queries Google Search Console What people typed to reach you, including the queries you rank for but had not thought to target.
Map pack & profile activity Google Business Profile Calls, direction requests and profile views, for the businesses where the map pack is the whole game.
AI visibility SEOApp Whether ChatGPT, Gemini, Perplexity and Google’s AI Overviews cite you when someone asks a question you should own.
Leads & calls Google Analytics Your CRM & call tracking The number that decides whether any of the rest of it mattered.

Reports arrive monthly and are walked through with your strategist — not emailed and left to interpret. See what the dashboard looks like, below.

What It Looks Like

The dashboard, screen by screen.

Every client gets a login to SEO App, the platform we built to run campaigns. These are real screens from a real account, not mock-ups.

01 · Your dashboard

One screen, your numbers.

The first thing a client sees after logging in. Who their account manager is and how to reach them, then the campaign at a glance: keywords tracked, how many sit in the top three and on page one, and which ones moved since the last check.

  • Your account manager, with a direct email, at the top of the page
  • Rank bands as a bar: top 3, 4 to 10, 11 to 20, and the rest
  • Best rankings and biggest climbers since the last check

02 · Keyword report

Every keyword, every month.

The full tracking report. The history chart shows the share of keywords in each rank band month by month, so you can see the campaign move rather than take our word for it. AI Overview and local pack presence are tracked alongside the organic positions.

  • Keywords on page one, average position and last check time, up top
  • Month-by-month history of rank bands for the whole keyword set
  • How many keywords appear in Google AI Overviews and the local 3-pack

03 · Local rank heatmap

Where you rank on the map.

For local campaigns, a map of Google Maps and organic positions at each keyword's tracked location. The glow is where you own the search; the gaps are where the next month's work goes.

  • Maps rank, organic rank or both, per keyword, on one map
  • Average Maps and organic rank across every tracked location
  • Satellite and fit-all views, with a filter for any keyword

04 · Keyword history

Any keyword, check by check.

Click into a keyword and you get its whole story: current position, best ever, the position on every check, the SERP features that appeared, and the actual top results from Google on the latest check with your site highlighted.

  • Position over time, with 7, 30 and 90 day views or a custom range
  • The SERP features on the latest check: local pack, People Also Ask, related searches
  • Ranking history and top results, both exportable

Who You Deal With

A named strategist, not a rotating cast.

Your project manager

One person, the same person, as your point of contact. They coordinate across the departments doing the work so you are not chasing four people for four answers.

The same board we use

Campaigns and deadlines live in Peakkr, the platform we built to run the agency. You look at the board we look at, rather than a status document someone retyped for you.

In-house, in one building

Strategists, writers, developers and designers who sit together in the Philadelphia area. Your campaign is not subcontracted to a third party you never meet.

Questions about how we work.

The ones that come up between the proposal and the first report.

Ask Us Something Else
How often will I actually hear from you?
A formal report and review every month, plus progress notes from your strategist during the first ninety days while the heavy work is shipping. Between those, your project manager is reachable directly — you do not go through a ticket queue to ask a question.
Can I see the data myself, or only in the report?
Yourself, whenever you want. Analytics and Search Console are your accounts. Rank and AI visibility tracking runs in SEOApp, which we built, and you get a login to the same view we use.
What if a month goes badly?
It goes in the report and we talk about why. Search has months that move sideways — an algorithm update, a competitor's big push, seasonality. Hiding one is how an agency ends up presenting a chart that starts in a flattering month.
Am I locked in?
No. Every agreement is month to month. It is the only pricing promise that actually protects you: if the work stops being worth it, you stop. 98% of clients choose to stay, which is the version of that number we would rather earn.
Do I have to sign before I see a plan?
No. The proposal contains the plan, the order of work and the price, and it is yours to keep either way. Plenty of people have taken it to another agency, which is fine — it means the thinking was worth something.

Why reporting is the part that actually goes wrong

Almost nobody leaves an SEO agency because of the SEO. They leave because three months in they cannot tell whether anything happened. The work might well have been fine; the reporting made it unknowable, and unknowable and worthless feel identical from the client’s side of the table.

That is why the report leads with leads and calls rather than impressions, and why every figure names the account it was pulled from. Impressions can rise while the phone stays silent. A metric that only ever moves in the right direction is usually a metric chosen because it only ever moves in the right direction.

It is also why the agreements are month to month. An agency that has to re-earn the work every thirty days cannot afford a quarter where nothing is explained, and that constraint does more for reporting discipline than any promise on a page like this one.

Want the plan before the commitment?

That is how it works. The proposal has the strategy, the order of work and the price — and it is yours whether or not you hire us.
